Position Title:      Campus Administrator

Department:        MCW-Central Wisconsin Campus                                           

Location:                Central Wisconsin, WI

Workweek:          8:00 a.m. – 5:00 p.m. and other hours as needed

 

SUPERVISORY RELATIONSHIPS

 

Reports to:                              Campus Dean

 

Collaborates with:               MCW-Central Wisconsin:  Director of Curriculum, Director of Student Affairs, Clinical Site Directors, Clinical Preceptors, Basic Science Instructors, Clinical Instructors

                                                    Librarian, IT Technician

                                                   

                                                    MCW-Milwaukee:  Academic Affairs Faculty Leaders and Department Managers, Community Medical Education Program Faculty and Staff

                                                                                                                                                                                                                                  

                                                    Directly Supervises:  Administrative Assistant, Course Coordinator,  Clerkship Coordinator, Student Support Coordinator

 

 

POSITION PURPOSE

 

The Campus Administrator will work with the Campus Dean, MCW Senior Administration, and the Community Medical Education Program project team to develop the administrative, financial, and student support infrastructure – to ensure the successful operation of the MCW-Central Wisconsin campus.

 

The Campus Administrator will oversee all on-campus, day-to-day administrative functions including financial management, personnel management, facilities, and information systems. In addition, the Campus Administrator will work collaboratively with the Office of Academic Affairs to deliver student services.

ESSENTIAL ACCOUNTABILITIES

 

1)      Works with the Campus Dean, MCW Senior Administration, and the CMEP Team to develop and implement strategic and tactical plans for campus growth, educational quality, research success, and community engagement.

a.       In conjunction with the Campus Dean, serve as the primary administrative liaison to establish and maintain effective working relationships between MCW campuses.

b.      Measures the financial and operational effect of decisions and actions

c.       Analyzes financial, organizational and operational problems in depth, relates and compares data from different sources, determining root causes and subtle relationships among data

d.      Oversee departmental teaching activities and provide Campus Dean with timely, objective, insightful, documented information that will be a primary catalyst in campus decision making for all aspects of campus activity

 

2)      Manages the operations of the MCW-Central Wisconsin campus within the fiscal and productivity guidelines of MCW.

a.       Coordinates program budgetary objectives, plans, and functions with involved affiliates

b.      Develops annual budget within MCW guidelines and timeframes in collaboration with the Campus Dean

c.       Determines and monitors appropriate staffing based on budgetary expectations

d.      Monitors all campus activities and provides professional flexibility, insight for prioritization, solves problems, disseminates information, and makes decisions and implements them to maximize overall campus productivity

e.      Manages contractual relationships with academic partners, hospital system partners, and vendors who provide services to MCW-Central Wisconsin

f.        Demonstrates proficiency in the use of the MCW’s management information system and reports

g.       Ensures that the physical environment, routine equipment, supply inventories, and other items are reasonably anticipated and maintained

 

3)      Uses the principles of planning and goal setting to accomplish personal, campus, and MCW objectives.

  1. Works with the Campus Dean and faculty to develop campus goals which flow from MCW and community medical education program strategic goals
  2. Develops yearly personal goals which reflect individual needs and campus priorities, taking responsibility for goal achievement
  3. Demonstrates commitment to personal and professional growth through ongoing educational activities
  4. Measures the financial and operational impact of decisions and actions

   

4)      Provides leadership and supervision to ensure quality services are provided by a competent staff.

a.       Determines the campus complement of staff to meet the needs of the campus.  Emphasis is on staff development and retention.

b.      Ensures orientation of all new staff

c.       Maintains open communication between staff, management, Campus Dean and faculty

d.      Manages and leads staff by setting high, challenging standards of performance.  Gives honest and timely feedback. 

e.      Works with the Campus Dean to build team cohesiveness by aligning campus and MCW goals

f.        Praises, coaches or counsels staff effectively; accurately documents staff performance in annual evaluation sessions and periodically throughout the year as needed

g.       Ensures that job descriptions and performance standards are current for all positions

h.      Facilitates change through coaching and role modeling

 

5)      Ensures the provision of proactive campus services.

a.       Models behaviors associated with the philosophy of continuous quality improvement (acknowledging mistakes, creating an environment to facilitate staff empowerment to assume responsibility, supporting systems improvement, and facilitating the coordination of faculty support)

b.      Interacts with all staff to solicit feedback and to become aware of issues, concerns and effectiveness in providing student and administrative services

c.       Maintains a service orientation, identifies the needs and quality expectations of all “stakeholders,” and develops mechanisms to meet those

d.      Acts as a role model in providing inter-departmental cooperation, proactive attitude, and flexibility

e.      Ensures that the campus meets all professional, governmental, and regulatory standards

f.        Continuously improves administrative processes and procedures to maximize faculty development and effectiveness

g.      Provide audiovisual and technical troubleshooting support to MCW faculty, staff, and students.

 

6)      Builds and maintains long term relationships both within MCW and with key community partners and other stakeholders.

a.       Assists the MCW Office of Development identify and cultivate donors

b.      Serves as staff liaison to the Community Advisory Board

c.       Coordinates public outreach activities for MCW leaders, include the campus dean

d.      Provides regular campus updates to academic partners, hospital system partners, community leaders, business community, media, and public at large

 

7)      Coordinate applicant interviews, Regional Applicant Advisory Committee meetings, and provide support to the MCW Admissions Office

 

8)      Follows the MCW code of conduct, follows all laws, regulations and policies and ensures legal compliance with governmental and grant requirements.

 

9)      Demonstrate awareness of organizational culture and build formal and informal networks to achieve goals.

 

10)   Acts as a catalyst for organizational change.  Is able to assess readiness and manage people through change processes.

MINIMUM POSITION QUALIFICATIONS

Appropriate education and/or experience may be substituted on equivalent basis

 

Education:                               Bachelor’s Degree in Business, Administration or related field.  Master’s degree strongly preferred.

 

Experience:                            8 years progressively responsible related management experience.  Academic experience strongly preferred.

 

Certifications/Licenses: None.
