Description:
The primary purpose of this position is to ensure office services are efficiently handled in a timely manner by performing administrative duties, scheduling, distributing mail, and assisting with Senior Staff Specialist duties as necessary in the Mid-Continent Business Unit.
Responsibilities may include:
- Fleet vehicle administration – liaison with Fleet Services to maintain usage of assigned and pool vehicles for the business unit.
- Order and coordinate the delivery of all break room supplies, plotter supplies, all copier, fax and printer paper. Collaborate with key operators on each floor for plotters and fax machines issues.
- Handle in-house service calls and coordinates with key operators on each floor for fax machines.
- Clerical Duties – Sorts mail, processes invoices for approval from vendors, general filing, order office supplies and secondary backup to handle floral arrangements. Sets up and schedule for staff meetings.
- Cost analysis – Prepares reports dep’t G&A quarterly office supplies expenditures.
- Coordinator for Emergency Disaster Organization – Develop plans and timelines to coordinate EDO training schedule with H&S business partner.
- Conduct monthly and quarterly inspections on emergency equipment and provide reports accordingly.
- Group Records Lead Assistant – liaison with IDM to maintain group compliance according to Records Management guiding principles.
- Backup for receptionist during breaks and lunch. Perform front desk job functions in a professional and accurate manner.
- Special projects or assignments as required to provide administrative services for the Midland Office. Post and remove notices and postings.
- Manage multiple projects and demonstrate accuracy and flexibility in all day-to-day functions
- Special projects or assignments as required providing Facilities Services support for MCBU.
- Serves as back up between employees and general maintenance and outside contractors for minor general services.
- Backup for access badge security system.
- Arrange equipment repairs and follow up to ensure prompt service
- Stock office & kitchen supplies and copy paper in designated areas and maintains appropriate inventory.
- Provide timely mail services by promptly distributing mail twice a day, preparing out-going mail (overnight, regular), adding postage to the mail meter, and maintaining the business reply account.
- Operate postage mail equipment.
Basic/Required:
- Legally authorized to work in the United States
- 1+ years of mail service and/or shipping & receiving experience
- Intermediate proficiency in Microsoft Excel, PowerPoint & Word
- Valid driver’s license

- Excellent written and verbal communication skills
- Ability to handle multiple tasks and efficiently prioritize work to meet deadlines with minimal supervision
- Basic automobile maintenance knowledge
