Associate Director, RFI

PURPOSE

 

Responsibilities for managing and directing a globally scalable operation and team in the preparation and

quality control of comprehensive, timely and accurate responses to customer’s requests for information (RFI)

about Quintiles services, resources and capabilities. Provide monthly metrics and reporting of RFI deliverables

demonstrating linkage to the sales cycle and stakeholder/customer satisfaction.

 

RESPONSIBILITIES

 

• Manage staff in accordance with organization’s policies and applicable legislation. Responsibilities

include planning, assigning, and directing work; appraising performance and guiding professional

development; rewarding, disciplining, and addressing employee relations issues and resolving

problems; selecting and on-boarding of new staff. Approve actions on human resources matters,

including performance reviews, development plans, salary administration and promotions

• Participate in the selection and on-boarding process for new staff by conducting candidate review and

participating in the interview process. Ensure staff have the appropriate materials, systems access, and

training to complete job responsibilities

• Ensure all department work instructions (WI) and standard operating procedures (SOPs) are accurate,

current and that all staff have been trained accordingly

• Effectively manage team resources and delegate tasks commensurate with skill level. Evaluate

workload, quality and metrics through consistent and metric-based reviews.

• Prepare and obtain approval on annual department business plans, including goals, objectives, key

activities, timing and resource requirements. Lead strategic initiatives, develop and implement

approved plans and monitor department performance against plan. Report results on monthly and

quarterly basis.

• Work effectively across a highly matrixed global organization; effectively collaborate to manage team

and project-related challenges

• Prepare accurate monthly and quarterly success metrics and reports to assess impact to the sales cycle

and stakeholder / customer satisfaction with quality and timeliness of deliverables. Ensure reports

monitor growth and performance to goal

• Meet with sales, proposals and other key stakeholders on a frequent basis to communicate plans, gain

insights/feedback to improve RFIs and demonstrate impact to the sales cycle

• Manage the research, text development, and organization of corporate information for RFIs and

proposals; ensure content is accurate and current within the Proposal Management and Production

System (PMAPS)

• Ensure the establishment and maintenance of a subject-matter expert (SME) network to review

existing / provide new differentiating service line text to ensure RFI content is accurate, up-to-date and

of high quality. Works proactively and effectively with service line SMEs to develop content to fill gaps

where they may exist

• Support and streamline the proposal development process by delivering reliable and authoritative

experience and corporate information to PMAPS and Proposal teams.

• Develop, maintain and improve therapeutic experience and RFI databases to enhance data retrieval

and support PMAPS, Proposal Development and Sales activities

• Evaluate, write, develop and publish highly complex requests for information, including general

Quintiles information requests and formal RFI requests from customers

• Performs other duties as required or assigned

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

• Ability to recruit, lead, motivate, develop and manage talent

• Knowledge of CRO industry and RFI/proposal management processes; Medical/therapeutic knowledge/experience preferred

• Strong writing skills required; Ability to gather information and data from a variety of sources and formats and combine in a cohesive response to requests

• Excellent teamwork, written and oral communication skills, problem solving skills required

• Ability to multi-task, see big picture and work effectively within global, matrixed team environment

• Highly organized with good project management skills and ability to meet deadlines and multiple stakeholder needs

• Proficient use of MS Office product suite

• Ability to develop and maintain internal systems in support of SOPs and PMAPS processes

• Ability to review users requests for assistance and recommend changes to global systems to enhance productivity and quality

• Ability to establish and maintain effective working relationships with coworkers, managers and customers around the globe

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

• Bachelors degree in Business, Marketing or other directly related field and a minimum of 12 years' experience in Business Development, or Proposals / Contracts Management with 7 years direct management experience; or equivalent combination of education, training and experience.

PHYSICAL REQUIREMENTS

• Extensive use of telephone and face-to-face communication requiring accurate perception of speech

• Extensive use of keyboard requiring repetitive motion of fingers

• Regular sitting for extended periods of time

• Will involve travel, evening / irregular hours to accommodate Asia-Pac region and global requirements
