POSITION IDENTIFICATION
 
Position Title:   Division Administrator

Location:           CHW Clinics Building, CHW
Workweek:        8am – 5pm, Monday – Friday.  Flexibility required to meet
                             divisional needs.
 
SUPERVISORY RELATIONSHIPS
 
Reports to: Division Chief
Collaborates with: Department Administrator, Department Associate Administrator(s), CHW and other clinical site Manager(s)               
Directly Supervises: Administrative staff.  Provides oversight of clinical and research staff.
 
SCOPE
 
Division Revenue: Total Revenue = $20,338,353;  Clinical revenue only = $16,260,781
Number of Faculty in Division: 34 (which includes 6full time faculty at MCW who are primary in another department but part time in Critical Care, none of which are less than .5 FTE clinical time)
Number of Fellows in Division: 13
Number of Staff in Division:  32: 16 nurse practitioners, 7 research staff, 9 program and administrative staff

POSITION PURPOSE
 
In conjunction with the Division Chief, responsible for the strategic business and clinical leadership of the Division of  Critical Care and their clinical operations, management of finances, personnel and resources to ensure that goals are met in a timely and effective manner. In collaboration with the Division Chief is responsible for the day to day administration and operations of the division’s clinical, educational and research programs. Responsible for maintaining an environment conducive to peak performance in all areas of operation.

ESSENTIAL DUTIES
In order of importance
 
1. Partner with Division Chief and provide strategic planning and business development recommendations for the Division of Critical Care.    
2. Responsible for division's fiscal operations. Including divisional budgets and clinical/research budget and clinical practice budget. Assist in the planning and preparation of the divisions annual budget submissions; including but not limited to budget revenue and expense projections and annual faculty/staff salary increases.
3. Responsible for execution of strategic planning within the division.  Represent division on appropriate task forces and committees as needed. 
4. Manage, administer and assist with development of grant proposals.  Responsible for submission of new grant requests, renewals and extensions through appropriate systems (i.e. eBridge). Oversee and monitor IRB submissions and other related research activity including personnel/purchase orders to ensure compliance with respective granting agency.
5. Oversees staff engaged in the divisional clinical program activities and assists with resource allocation. Manages and/or collaborates  with the appropriate CHW and clinical site Manager(s)  to facilitate efficient clinical services. Work with Pediatric Practice Managers and Billing Specialists to maintain communication between the physicians and practice sites regarding patient care and billing issues.
6.  Oversee the operational activities of the division ensuring efficiency and compliance with department and College policies and procedures. Ensure that policies are in compliance with MCW and regulatory agency policies.
7. Recruit, hire, orient, train, discipline and conduct annual reviews for divisional staff members, ensuring compliance department, MCW and legal guidelines.  Supervise, mentor and coach direct reports and allocate tasks.
8. Communicate college and department policies and serve as a resource on these policies and procedures to staff and faculty. 
9. Lead and manage the organizational change process for division/practice improvement.
10. Oversee the coordination, planning and implementation of office activities and procedures. Oversee divisional workshops, retreats, and advisory committee meetings.
11. Oversee and support the recruitment, interview, orientation, graduation and other medical education/residency program activities.
12. Assume oversight of strategic planning, business development and administrative management of identified Pediatric Divisions at the discretion of the Department Administrator and Departmental leadership.
 
 
OTHER DUTIES
 
Additionally, perform other duties as assigned.
 
MINIMUM POSITION QUALIFICATIONS
Appropriate education and/or experience may be substituted on equivalent basis
 
Education: Bachelor's Degree in finance, management, health care administration or related field.         
 
Experience: 6 or more years of progressively responsible experience in office management with supervisory and budget management responsibilities.  Experience in a medical, research, or educational environment preferred.

KNOWLEDGE, SKILLS, & ABILITIES
 
Understanding of financial and human resources related issues. Excellent oral and written communication skills. Excellent interpersonal and organizational skills required along with strong critical thinking, global vision, problem solving and attentiveness to detail required. Strong computer skills. Ability to build and maintain internal and external partnerships and collaborations.  Knowledge of medical terminology preferred.

Manual Dexterity: Work requires regular speed and accuracy for most of the working day.
 
Physical Effort: Work requires handling average weight materials or equipment, but not for sustained periods.
 
Working Conditions: Ordinary office working conditions with some slightly disagreeable features. Some travel may be required.
 
Hazards: Exposure to Bloodborne Pathogens and hazardous materials.
